What buyers should confirm before authorizing mass production of a custom wooden product.

A sample is a production reference, not just a sales sample

The approved sample should represent the product that mass production is expected to follow. Approval should therefore cover more than overall appearance. Construction, dimensions, function, finish, logo and packaging all need to be recorded.

Check construction and function

Use the sample as the intended customer would. Open drawers, rotate platforms, fold components, assemble knock-down parts and place the expected items inside. Confirm clearances, balance and user contact points.

  • Overall structure and component layout
  • Joint fit and hardware
  • Moving or adjustable functions
  • Stability and expected load
  • Edges, corners and touch points

Measure and document

Record critical dimensions instead of approving by sight. Mark which dimensions are functional and define acceptable tolerances. Confirm product weight when it affects shipping or customer handling.

Approve appearance and branding

Natural materials vary, so approval should define a reasonable range rather than one exact grain pattern. Confirm surface preparation, color direction, sheen, logo artwork, position and contrast.

  • Acceptable grain and color variation
  • Finish sample or color reference
  • Logo process, size and location
  • Visible surface defect limits

Do not postpone packaging approval

Fit the product into its intended packaging and confirm protection, presentation and labels. Review inserts, barcode, carton marks and master-carton configuration before production. Keep an approved physical sample and a signed specification with the same revision reference.
